For most SMEs the differences in raw quality between the leading models matter less than three practical points: does it plug into the email, documents and calendar you already use, does the business plan keep your data out of model training and give you admin controls, and will your staff actually open it every day.
Free and personal accounts are the main risk. Staff using personal accounts for work means company and customer data ends up outside your control.

Standardise on one general assistant for everyone, so training, policy and shared prompts stay simple. Specialist tasks, such as an AI voice agent or bookkeeping automation, may use different models behind the scenes, and that is fine as long as someone owns and documents them.
