Where each fits
RPA suits old systems with no API and highly predictable steps, such as copying values from one legacy screen into another. AI automation suits work involving emails, documents, chats and free text, where the input varies every time.
Where an app offers an API, connecting through it is usually more reliable than either clicking through screens or relying on AI to interpret them.
For a typical SME
Most SMEs use cloud software with APIs, so they rarely need traditional RPA licences. A workflow platform plus an AI model covers most needs at lower cost. RPA becomes relevant mainly when a key system, often a government portal or older industry software, can only be operated through its screens.
