How to choose

Choose Zapier if non-technical staff will build simple automations themselves and volumes are modest. Choose Make if you need branching logic and data transformation and want lower running costs. Choose n8n if you have, or can borrow, technical skills and want self-hosting, custom code steps, or to keep data within your own infrastructure.

If your company runs on Microsoft 365, Power Automate is also worth considering because it is often already licensed.

The tool matters less than the ownership

Automations break when an app changes, a password expires or the business process changes. Whatever you choose, document every workflow, send failures to someone who will act on them, and keep the logins in company accounts rather than a freelancer's.
