If you use Microsoft 365 or Google Workspace, their AI assistants can work across your files with existing permissions, which is often the simplest route. For specific needs, such as a product knowledge assistant for the sales team, a dedicated assistant can be built on a curated set of documents.

Make it trustworthy

Clean out outdated documents first, because the assistant cannot tell which of two conflicting policies is current. Require answers to cite their sources. Check permissions before connecting folders, since an AI assistant can surface files that were technically shared but never meant to be found.
